Committee duties and responsibilities:

1. Spreading the culture of quality and academic accreditation among the department’s employees, and preparing for activities that support it to maintain a high level of performance.

2. Collecting data and information on quality activities in the department and conducting the necessary surveys to obtain feedback from students and faculty members.

3. Follow up the quality and academic accreditation committees in the academic departments and support them in carrying out their tasks.

4. Direct supervision of the academic accreditation process and determination of all requirements and activities related to academic programs and college administration.

5. Implementation of the requirements of the quality management system at Jazan University, and follow-up with the University Vice Presidency for Development and Quality, the academic college departments and the college administration.

Committee for Scientific Research and Graduation Projects

Committee duties and responsibilities:

1. Working on the establishment of a topic bank that contains the proposals of students and professors to be used for graduation projects, taking into account that they are applied projects that serve the university and society

2. Receiving project proposals from professors and students, and approving them before the beginning of the semester.

3. Forming student groups and distributing them to faculty members.

4. Arranging the discussion schedule and the names of the debaters at the end of each semester, and having them approved by the committee chair.

5. Establishing a clear mechanism for how projects will be implemented, followed up and evaluated. 6. Continuous evaluation and development of everything related to the graduation project course.

7. Going out to the factories in the region and trying to know their engineering problems and benefiting from it being the graduation project

 

Strategic Plan Committee

Committee duties and responsibilities:

1. Drafting the department's vision, mission and strategic objectives and updating them based on the latest developments.

2. Develop and update the department's strategic plan, including policies, programs and performance indicators to achieve the department's and college's vision and mission and its strategic objectives.

3. Follow up on the implementation of development projects to achieve strategic goals.

4. Follow up the achievement of key performance indicators for development projects.

5. Preparing reports to follow up the implementation of the strategic objectives and sending them to the department head to be submitted to the dean of the college.

Committee duties and responsibilities:

1. Updating the list of CVs and names of the faculty members in the department and collecting their information according to a unified form.

2. Gather all the news related to the department's activities from the department head and faculty members.

3. Make the necessary arrangements for publishing and announcing the department's news in the university's magazine, on the department's website, or by sending messages by e-mail.

4. Announcing upcoming events of interest to students and staff in architecture and society in general. 5. Maintaining a high level of quality in terms of information accuracy and ease of obtaining the required information.

Committee duties and responsibilities: 1. Develop the training mechanism in terms of its preparation, registration method and evaluation methodology. 2. Preparing a list of training bodies (for the public and private sectors) and available training opportunities, in coordination with the training coordinator at the college.

3. Distribution of department students among the available summer training places.

4. Review and audit the training reports forms (weekly and final) after completing 8 weeks of the training period.

5. Send the names of the students who have successfully completed the training requirements to the head of the department.

6. At the end of the academic year, honor the owners of factories and companies cooperating in training.

Laboratories and Laboratories Needs, Procurement and Occupational Safety Committee

Committee duties and responsibilities:

1. Study the department's needs of laboratories, equipment and materials needed for them.

2. Develop a general conception of the labs, their arrangement, their relationship with each other, the appropriate spaces for each lab and the spaces required in them.

3. Preparing the technical study and award forms to secure the laboratories' needs.

4. Preparing offers and specifications of devices and laboratory units.

5. Studying the offers submitted to laboratories from different authorities.

6. Ensure compliance with the specifications of the equipment to be supplied to the laboratories before completing the purchase process. 7. Ensuring the existence of periodic maintenance for the laboratories, and the replacement of the damaged ones, especially at the end of each semester.

8. Equipping the labs with the necessary furniture as well as the appropriate teaching aids.

9. Continuous follow-up of the devices, laboratories and laboratories in the department.

10. Study the laboratories' needs of the engineers, technicians and assistants needed to organize and equip the laboratories.

11. Make a manual for machines and devices with a brief explanation of each device

Committee duties and responsibilities:

1. Students meet at the beginning of each semester to inform them about the Guidance and Guidance Unit and the benefits that this unit offers them. Also, to get their feedback on the problems they encountered and their suggestions.

2. Interviewing students with poor academic achievement (who have achieved a cumulative average of less than 2) to find out the reasons for the low academic performance and to make suggestions and encourage them to improve their performance.

3. Interview students who may have social, financial or psychological problems that may affect their academic performance and help them overcome them.

4. Awareness of students about the university's regulations on academic issues.

5. Inform students about available training opportunities and professional jobs.

6. Motivate and encourage outstanding students. 7. Solve students' registration problems.

Registration Committee, schedules, exams and halls

Committee duties and responsibilities:

1- Registration and schedules:

Statistical work of students enrolled in engineering courses for the current semester.

Calculating the number of students expected in the next semester. Preparing study schedules for each level in the department and studying the availability of professors and classrooms.

Communicate with the college coordinator in order to coordinate with other departments and colleges that teach courses for engineering students regarding the number of required departments, dates and halls. Supervising the issuance of the comprehensive academic schedule for course dates, hall numbers and names of professors for all subjects, in cooperation with the college coordinator.

           Supervising the announcement of the classroom schedule in coordination with the Website Committee, as well as with the Academic Affairs Committee Follow-up on the preparation of classrooms in terms of number of chairs, air conditioning and lighting…

. etc. Continue to update the schedule during the registration process to resolve registration related problems

2- Tests and schedules:

· Coordination with academic departments to prepare the general examination schedule. Ensuring that there is no conflict in the examination schedules for students

. Availability of a sufficient number of observers in the monthly and final exams

. Preparing the controls, and forming monitoring committees for the final exams. Monitoring the progress of exams.

Raising student cases (request for an alternative test - cases of cheating -……) to the Student Committee.

Preparing a report on the monthly and final exams.

Periodically updating the examination committee file to suit the department's needs.

Investigate the most appropriate distribution of courses in the final exams schedule on the college halls.
